Built for event rental operators and direct bookings. Output: contract + inventory + condition baseline + return inspection + claim-ready damage invoice.
Built for event rentals: sound systems, lighting, speakers, LED screens, stage platforms, tents, tables, chairs, inflatables, photo booths, generators and other event equipment. Especially for direct bookings where documentation replaces platform protection.
This is an event rental agreement template + an evidence workflow for equipment rental contracts. Not a marketplace. Not a SaaS subscription. The output is a clean file set you can email to the client and store for disputes.
5-step event rental documentation system
-
Event Rental Agreement (Contract)
Define client identity, equipment list, rental dates, delivery/setup/teardown, payment terms, deposit, liability, insurance responsibility, damage clauses and jurisdiction. -
Detailed inventory list (every accessory)
List cables, adapters, stands, brackets, safety wires, covers, cases and consumables. Inventory clarity reduces “it wasn’t included” disputes. -
Condition report at handover (baseline)
Document condition with photos before the event starts. Especially important for AV gear, tents, inflatables and outdoor equipment. -
Return inspection checklist
Check for water damage, broken connectors, torn fabric, missing parts, abnormal wear, misuse, or late return. Evidence beats arguments. -
Damage claim invoice + evidence
Reference baseline documentation, attach photos, and issue a structured damage invoice for claims, insurance and dispute resolution. See: Damage Invoice Template
Output goal: fewer disputes about broken equipment, missing cables, water damage, setup responsibility, late return, and liability.
Dispute triggers this system neutralizes
- “It stopped working during the event.”
- “That cable was never delivered.”
- “Wind/rain damaged the tent.”
- “The speaker was already faulty.”
- “We’re not responsible for that.”
