Safe Standard®

Rental System

One system — not standalone documents

Property · Mobility · Equipment · Event · Item Rentals
Agreement · Handover · Custom Terms · Invoice

One workflow. One file set. Dispute-ready documentation for rentals — in minutes.

Built to work as one file set

Each document supports the next. Used alone, a single template is incomplete — the strength is the full stack:

Agreement Custom Terms Country Annex Handover / Checklist Invoice

Output = one consistent rental record: terms + local logic + condition evidence + claim structure.

✔ One-time payment ✔ Lifetime access ✔ Works worldwide ✔ PDF & ODT export ✔ No data stored

What’s included

The operational file set — consistent across categories and designed to work together.

Rental Agreement
Core contract record for the rental (parties, object/service, pricing, cancellation).
Handover / Focus Checklist
Condition + inventory evidence. “No notes = no damage.” Photos only if deviations exist.
Damage Invoice
Structured claim format for damage/loss: items, proof references, totals, payment request.
Custom Terms + Country Annex logic
Asset-specific rules + country-based operational logic (annex is not attached to the contract).
Why Safe Standard®

Built on standardized documentation logic aligned with rental practice across jurisdictions. Documentation only — not legal representation.

Why not free templates?
Free PDFs are standalone documents. Rentals are systems. A template rarely creates a full documentation chain.
  • No consistent handover checklist logic
  • No structured claim package (evidence → invoice → payment)
  • No hierarchy when terms conflict
  • No repeatable workflow across categories
Why not build it yourself with AI?
AI writes text. Rentals require structure and consistency. DIY with AI makes you the system owner (architecture + maintenance).
  • Prompt drift = inconsistent rules
  • Clause conflicts between documents
  • No standardized acceptance + evidence chain
  • High maintenance to keep everything aligned
Why not use a SaaS rental system?
SaaS can be useful for bookings — but often adds lock-in, accounts, and subscriptions. Safe Standard is the documentation layer.
  • Monthly cost forever
  • Account dependency + vendor lock-in
  • Platform-shaped terms (not direct-rental-first)
  • Customer data/process stored elsewhere
What makes Safe Standard® different?
It’s a complete documentation ecosystem designed to operate as one consistent file set.
  • Agreement → Checklist → Damage Invoice → Custom Terms
  • Same structure for all asset categories
  • Use it for rooms, cars, bikes, equipment, and event gear
  • Country Annex logic per rental country
  • Local-only generation (offline-capable)
  • No account. No stored customer data.
How to use the rental system

Web App = operational layer. Templates = backup. Works worldwide with the correct Country Annex.

  1. 1
Booking = acceptance (make it explicit)
Add on your booking page: “By booking and/or paying you accept the Rental Agreement and Terms.” Customer taps OK. Collect name, ID (if needed) and phone (used as OCR/reference). Phone becomes the red thread: booking → payment → agreement → invoice → claim.
  2. 2
    Generate the file set
Pick rental country (apply matching Country Annex internally), then generate: Agreement + Custom Terms + Checklist. Export PDFs and send/attach to the booking record.
  3. 3
Handover = checklist + timestamped signature
At handover: open Agreement + Checklist, confirm condition. No notes = no damage (photos only if deviations). Sign on mobile via e.g. DocuSign (free is enough) — customer can sign on your phone or theirs. Output: timestamp + PDF copy + evidence trail.
  4. 4
    Damage = structured claim package
If damage/loss: reference the signed checklist, attach photos (when noted), and issue a written invoice. Standard terms: 14 days. Late payment: interest per law. Next step: reminder → debt collection → Kronofogden. Same legal process as big companies — works for private operators and small businesses too.
Backup files (optional)
PDF + ODT backups (edit/translate in Word). Web App is the primary workflow.

Documentation only — not a platform, not SaaS, not legal representation.
